Privacy Policy

This Privacy Policy explains how Cart Quoter collects, uses, shares, and protects personal information when you use our websites, applications, Quote Assistant, and related services (collectively, the “Services”).
1. Who we are and who this policy covers
Cart Quoter provides quote and sales workflow software for golf cart dealerships and other U.S. businesses. The Services are intended for adults age 18 and older. This policy applies to dealership users, prospective customers, website visitors, and people whose information a dealership enters into the Services.
Dealerships generally decide which customer information to enter and how to use it. If a dealership entered your information, you may contact that dealership first about your privacy request; we will assist the dealership as appropriate.
2. Information we collect
Depending on how you use the Services, we may collect:
- Account and dealership information, such as names, email addresses, phone numbers, authentication details, roles, business names, locations, and account preferences.
- Customer and quote information, such as customer contact details, requested products, cart configurations, pricing, delivery details, margins, notes, approvals, and communications.
- Inventory and integration information, including product, vehicle, accessory, pricing, availability, location, and connected-provider records.
- Communications and support information, including messages, feedback, support requests, and records of service communications.
- Marketing-lead information, such as name, work email, dealership, referral source, and campaign information submitted through our website.
- Device, cookie, usage, and diagnostic information, such as IP address, browser and device characteristics, pages and features used, interaction data, session information, error reports, and security events.
3. How we collect information
We collect information directly from users and dealerships, through Google authentication when selected, from connected inventory providers, and automatically through website and application activity, cookies, logs, and similar technologies. We may also receive information when someone requests a demo or communicates with us.
4. How we use information
We use personal information to:
- provide, operate, maintain, and improve the Services;
- authenticate users, administer accounts, and protect the Services;
- create, customize, deliver, and manage quotes and related communications;
- connect inventory, pricing, availability, and dealership location data;
- respond to support requests and communicate service or account information;
- understand product usage, diagnose errors, perform analytics, and improve reliability;
- respond to demo requests and communicate about Cart Quoter; and
- comply with law, enforce agreements, and prevent fraud, abuse, or security incidents.
5. Quote Assistant and artificial intelligence
Quote Assistant uses OpenAI services to turn a user’s request into structured quote instructions. A request may contain customer information—including names, email addresses, phone numbers, addresses, and quote details—and relevant dealership, catalog, or conversation context needed to process it.
We use Langfuse for AI observability, troubleshooting, and product reliability. Quote Assistant inputs, structured outputs, identifiers, and operational metadata may be processed in Langfuse for those purposes. We do not opt Quote Assistant API inputs or outputs into OpenAI model training, and our requests use available controls intended to avoid storage for model response retrieval. Service providers may still process or retain data as described in their terms and policies, including for security and abuse prevention.
Quote Assistant supports the quote workflow; it does not make final purchasing, eligibility, or other legally significant decisions. Dealership users remain responsible for reviewing quote details before use.
6. How we disclose information
We may disclose information to the following categories of recipients when needed to operate the Services:
- Amazon Web Services (AWS) for hosting, databases, storage, logging, and email infrastructure.
- Google for optional authentication and related account services.
- OpenAI for Quote Assistant request processing.
- Langfuse for Quote Assistant observability and diagnostics.
- Microsoft Clarity for product analytics, interaction insights, heatmaps, session replay, and troubleshooting.
- Cloudflare Turnstile for abuse and automated-submission protection on website forms.
- Connected inventory providers when a dealership enables an integration and data exchange is needed to provide inventory functionality.
Information may also be visible to authorized users of the applicable dealership and to quote recipients as directed by that dealership. We may disclose information when required by law, to protect rights and safety, during a security investigation, or as part of a merger, financing, acquisition, reorganization, or sale of assets.
7. Cookies and analytics
We use cookies and similar technologies for sessions, authentication, security, preferences, analytics, and troubleshooting. Microsoft Clarity may collect interaction and device information and use cookies to provide heatmaps and session replay. Browser settings may allow you to limit cookies, although some Services may not function correctly without essential cookies.
8. Sale and targeted advertising
Cart Quoter does not sell personal information and does not currently use personal information for targeted advertising. If our practices change, we will update this policy and provide any notices, choices, or consent controls required by law before introducing those uses.
9. Data retention
We retain personal information for as long as reasonably necessary to provide the Services, maintain business and transaction records, support dealership workflows, resolve disputes, protect security, enforce agreements, and meet legal obligations. Retention varies based on the type of information, the dealership’s account status and instructions, operational needs, and applicable law. We may retain deidentified or aggregated information where permitted.
10. Security
We use administrative, technical, and organizational safeguards designed to protect personal information. No system, transmission, or storage method is completely secure, so we cannot guarantee absolute security. Users are responsible for protecting their credentials and promptly reporting suspected unauthorized access.
11. U.S. processing
Cart Quoter currently provides the Services to U.S. businesses. Information may be processed and stored in the United States by us and our service providers. If information is submitted from another jurisdiction, it may be transferred to the United States, where privacy laws may differ.
12. Your privacy rights and choices
Depending on where you live and subject to applicable exceptions, you may have rights to request access to, correction of, deletion of, or a copy of personal information; to learn about how it is used or disclosed; or to appeal our response where required. You may also unsubscribe from marketing email using the link in the message.
To submit a request, email privacy@cartquoter.com. We may ask for information reasonably necessary to verify your identity, authority, and relationship to the relevant dealership. Authorized agents may submit requests where permitted, subject to verification. We will not discriminate against you for exercising applicable privacy rights.
13. Age eligibility
The Services are intended for business use by adults age 18 and older. We do not knowingly offer the Services to children or collect personal information directly from children.
14. Changes to this policy
We may update this Privacy Policy as our Services, practices, or legal obligations change. We will post the updated policy here, revise the effective date, and provide additional notice when required by law.
